PURPOSE OF THE ROLE

We are looking for an organised and proactive Early Careers Assistant to join our HR Administration team.

Working as part of HR Operations, you will provide administrative support across the employee lifecycle, with a primary focus on supporting the firm's Early Careers programmes, including apprenticeships and graduate recruitment and development activities.

The role will be responsible for coordinating a wide range of Early Careers administration activities, including recruitment campaigns, assessment centres, onboarding and programme support, whilst also assisting with core HR administration processes such as new starter administration, employee changes, leavers, HR systems updates and employee record management.

You will work closely with the Early Careers team, HR colleagues and key stakeholders across the business to deliver an efficient, accurate and professional service, ensuring a positive experience for candidates, future joiners and employees.

THE TEAM

The role sits within the HR Administration team, part of the wider HR Operations function.

The HR Administration team supports employees and managers throughout the employee lifecycle, delivering high-quality administrative support and ensuring HR processes are delivered efficiently and accurately. The team works closely with HR Business Partners, Reward, Learning & Development, Resourcing and Early Careers teams across our UK and international offices.

Whilst forming part of the HR Administration team, this role will have a dedicated focus on supporting the firm's Early Careers programmes and will work closely with the Early Careers team to support the recruitment, onboarding and development of apprentices, graduates and trainees.

KEY RESPONSIBILITIES

Early Careers Administration (Primary Focus)

  • Support the administration and coordination of apprentice and graduate recruitment campaigns.
  • Coordinate assessment centres, interviews, placement schemes and recruitment events, including room bookings, scheduling, candidate communications and preparation of materials.
  • Act as a first point of contact for Early Careers candidates and future joiners, responding to queries and providing administrative support.
  • Manage the Early Careers inbox and coordinate responses to enquiries.
  • Support onboarding and induction activities for apprentices and graduates.
  • Maintain recruitment trackers, programme records and reporting data.
  • Process invoices and support budget administration activities.
  • Support careers fairs, employer branding activities and external engagement events.
  • Assist with Early Careers development programmes, workshops and events.
  • Support annual and ad hoc projects, including diversity, social mobility and attraction initiatives.
  • Maintain process documentation, checklists and programme information.

HR Administration Support

  • Complete new starter administration and pre-employment checks.
  • Prepare and issue employment-related documentation, including contracts, offer letters and employee change documentation.
  • Process employee lifecycle changes including contractual changes and leavers.
  • Maintain accurate employee records and update HR systems.
  • Support HR reporting and management information requests.
  • Respond to general HR administration queries and signpost employees to relevant policies and resources.
  •  Ensure administrative activities are completed accurately and in line with agreed service levels and payroll deadlines.
  • Support HR Operations projects and annual cyclical activities where required.
